Using Allocation Keys

The program has features for allocating an entry in a general journal to several different accounts when you post the journal. The allocation can be made by quantity, percentage or amount.

To Use Allocation Keys:

  1. Open the Recurring General Journal window.

  2. In the Batch Name field at the top of the window, click the AssistButton .

  3. Press F3 to create a new journal batch.

  4. In the Name field, enter a name for the batch, such as CLEANING. In the Description field, enter a description, such as Cleaning Expenses Journal.

  5. In the General Journal Batches window, click the batch name, and then click OK.

    A new, empty recurring journal appears. Now fill it in (see the following steps).

  6. In the Recurring Method field, select the desired method, such as Variable. In the Recurring Frequency field, enter the appropriate period, 1M, for example.

  7. Fill in the Posting Date, Document No., Account Type, Account No., and Description fields. Enter the total amount to be allocated in the Amount field.

  8. In the last field on the line, press Enter to set the line up. Click the line, and then click Line, Allocations.

  9. Create a line for each allocation. You must fill in either the Allocation %, Allocation Quantity or Amount field. You must also fill in the Account No. field and, if you are allocating the transaction among global dimensions, the global dimension fields. For Help about a specific field, click the field and press F1.

  10. If you enter a percentage on a line, the amount in the Amount field is calculated automatically. These amounts have the opposite sign from the total amount in the Amount field in the recurring journal.

  11. After entering the lines with the allocations, click the recurring journal window. The Allocated Amt. (LCY) field is filled in and matches the Amount field.

  12. Click Posting, Post to post the journal.
