Assigning Item Charges to Sales Documents

It is possible to enter item charges, such as freight or handling charges, into Navision and link them to the items that they relate to.

The item charge can be entered into the program on different kinds of sales documents, for example, a separate invoice or the document where the items that the item charge relates to are listed.

When you have entered the item charge, you can create the link by assigning the item charge to selected items.

The following steps describe how to assign item charges from a sales invoice, but the same steps can be followed from other sales documents.

To Assign Item Charges to Sales Documents:

  1. Open the Sales Invoice window and browse to the invoice that you entered the item charge on.

  2. Click a field in the line that you entered the item charge on.

  3. Click Line and select Item Charge Assignment. The Item Charge Assignment (Sales) window opens.

    If you entered this window from an invoice with item lines on it, the assignment lines will already be filled in with the lines from the invoice.

  4. Add lines from other documents if the item charge relates to other lines. If you click Functions, you have the choice between getting shipment lines and getting return receipt lines.

    Note that if you are assigning the item charge from a separate invoice, you must fill in the window using one of these functions.

    You are now ready to assign the item charge. You can have the program suggest an assignment for you first and then adapt the suggestion to your needs.

  5. Click in the first assignment line that you want to assign this item charge to.

    Note that if you do not want to assign part of an item charge to a line, you can skip step 5 for that assignment line.

  6. In the Qty. to Assign field, enter the number of units of the item charge that you want to assign to this line. You can enter decimal numbers in this field, for example, if you entered the number 1 in the Quantity field on the order. You can also enter a formula.

    Note that at the bottom of the Item Charge Assignment (Sales) window, status fields show you how much you can assign, how much of this you already have assigned, and how much is left to assign in both quantities and amounts.

  7. Exit the window by pressing Esc.

When you post the invoice, the assignment is done by creating a value entry for the item charge and linking it to an item ledger entry corresponding to the assignment line.
