Index Fixed Assets Batch Job

You can use this batch job to help you index fixed assets linked to a specific depreciation book. The batch job creates entries in a journal based on the conditions you specify. You can then post the journal or adjust the entries before posting, if necessary.

You can index various types of fixed asset transactions: acquisition cost, depreciation, appreciation, maintenance and so on. You can also choose to have the batch job insert balancing accounts in the journal according to the accounts you specified in the FA Posting Group table.

You can, for example, set up a special depreciation book for your assets for indexation purposes. Then, if you index your fixed assets in order to account for inflation, you can see the replacement cost of your assets at a specific time.

In order to run the batch job, the Allow Indexation field in the Depreciation Book table must be activated for the depreciation book specified in the batch job.

You can define what is included in the batch job by setting filters. You can set additional fields on the Fixed Asset tab by clicking the Field field and then clicking the AssistButton that appears to the right of the field. You can also determine how the batch job is executed by filling in the fields on the Options tab. Fill in the fields as follows:

Fixed Asset

No.: Enter the numbers of the fixed assets to be included in the batch job. To see the existing fixed asset numbers, click the Filter field, then click the AssistButton that appears to the right.

FA Class Code: Enter the fixed asset class codes that are assigned to the fixed assets to be included in the batch job. To see the existing fixed asset class codes, click the Filter field, then click the AssistButton that appears to the right.

FA Subclass Code: Enter the fixed asset subclass codes that are assigned to the fixed assets to be included in the batch job. To see the existing fixed asset subclass codes, click the Filter field, then click the AssistButton that appears to the right.

Budgeted Asset: Enter Yes if you want the batch job to index only budgeted fixed assets. If you do not want budgeted assets to be included in the batch job, enter No in this field.

Click the up-arrow at the lower left-hand corner of the window to see the result of the filters you have defined.

Options

Depreciation Book: Click the AssistButton and then select the depreciation book code for the depreciation book to be used in the batch job.

Index Figure: Enter an index figure. This is the figure the batch job uses to calculate the index amounts entered in the journal. For example, if you want to index by 2%, enter 102 in this field; if you want to index by -3% percent, enter 97 in this field.

FA Posting Date: Enter the fixed asset posting date to be used by the batch job. The batch job will include ledger entries up to this date. This date will appear in the FA Posting Date field in the resulting journal lines. If the Use Same FA+G/L Posting Dates has been activated in the depreciation book used in the batch job, then this date must be the same as the posting date entered in the field described below.

Posting Date: Enter the posting date to be used by the batch job. This date will appear in the Posting Date field in the resulting FA G/L journal lines for assets that are integrated with the general ledger. If the Use Same FA+G/L Posting Dates has been activated in the depreciation book used in the batch job, then this date must be the same as the fixed asset posting date entered in the field described above.

Document No.: Leave this field blank if you have set up a numbering series for the fixed asset journal batch in the No. Series table and the journal is empty. The batch job automatically fills in the resulting journal lines with the next available number in the series.

Posting Description: Enter a posting description that will appear on the resulting journal lines.

Insert Bal. Account: Place a check in the box if you want the batch job to automatically insert balancing account(s) in the resulting journal. The batch job uses the accounts you defined in the FA Posting Group table.

Index: Place a check mark in the fields with the fixed asset transaction types that you want to index for the fixed assets included in the batch job. For example, if you want to index acquisition cost, place a check mark in the Acquisition Cost field.

Click the OK button to start the batch job. If you do not want to run the batch job now, click Cancel to close the window.
