Copying Information from Purchase Documents to Purchase Credit Memos

When you create a credit memo, you have two options for copying information from purchase documents. You can either use the Copy Document function to let the program fill in the header and lines, if the credit memo is to be an almost exact copy of an existing document, for example, a posted purchase invoice; or you can use the Get Posted Document Lines to Reverse function to copy only certain lines from one or more posted documents.

Either of these procedures can be useful if, for example, you want to correct an incorrect posted invoice, or if you want to post a purchase return or purchase allowance.

The following procedures use a posted invoice as an example, but the same steps can be used for copying an order or a credit memo.

Using the Copy Document Function to Copy Information from Purchase Documents to Purchase Credit Memos:

  1. Open the Purchase Credit Memo window.

  2. Press F3 to create a blank credit memo.

  3. Leave all fields blank, except the No. field.

  4. Click Functions, Copy Document.

  5. In the Document Type field, select Posted Invoice.

  6. In the Document No. field, enter the number of the posted invoice that contains the information you want to copy.

  7. On the Options tab, in the Include Header field, insert a check mark if you want to copy both the document header and the lines from the document to the credit memo.

    The document lines will be copied whether or not there is a check mark in this field.

    If you want to keep the same prices as on the invoice lines, you should not recalculate the lines.

  8. Click OK to have the program copy the document header and lines.

Using the Get Posted Document Lines to Reverse Function to Copy Information from Purchase Documents to Purchase Credit Memos:

  1. Open the Purchase Credit Memo window.

  2. Press F3 to create a blank credit memo.

  3. Fill in the header information as appropriate.

  4. When you are ready to fill in the lines, click Functions, Get Posted Document Lines to Reverse. The Posted Purchase Document Lines window opens.

  5. At the top of the window, insert a check mark in the Show Reversible Lines Only field if you want to see only lines that have quantities that have not yet been sold, returned, or consumed. Inserting a check mark in the Show Reversible Lines Only field hides those posted document lines where the full quantities have already been sold, returned, or consumed. This field only works for posted receipt and posted invoice lines, not for posted return or credit memo lines.

  6. At the left side of the window, click the type of posted document lines you want to select. The number in parentheses shows the number of documents available in that particular document type.

  7. In the posted document lines, select the lines that you want to copy to the new document.

  8. Click OK to copy the lines to the credit memo.
